  • Project Management Office (PMO) Associate

Kualifikasi dan Detail Info :

We are seeking a dedicated and detail-oriented Project Management Office (PMO) Associate to join our team and play a crucial role in improving the organization and management of our project documents, processes, and meetings. The PMO Associate will be responsible for ensuring that project documentation is well-structured, complete, and of high quality. Additionally, this role will involve coordinating internal project meetings, following up action items from internal PMO meetings, creating templates for project documents and forms, and auditing the implementation of Standard Operating Procedures (SOPs).

We prefer the candidate who has passion to developing the career in project management area and become top level executive.

Responsibilities:

Project Documentation Management:
Organize, categorize, and maintain all project-related documents that are submitted by project managers
Ensure that project documentation adheres to quality standards and completeness.
Implement document version control processes.
Collaborate with project teams to collect and archive relevant information.

2.Meeting Coordination:

Schedule and coordinate project-related meetings, including team meetings, internal stakeholder/steering committee meetings, and regular PMO meetings.
Prepare meeting agendas and distribute relevant materials in advance.
Document meeting minutes and action items for follow-up.

3.Template Creation:

Develop and maintain standardized templates for project documents, reports, and forms.
Collaborate with project managers and teams to identify document requirements and design templates accordingly.
Ensure templates align with company branding and quality standards.

4.SOP Monitoring:

Assist in monitoring the implementation of Standard Operating Procedures (SOPs) across projects.
Identify areas for improvement and report deviations from SOPs to management.
Facilitate training sessions to ensure team members are aware of and adhere to SOPs.

5.Process Improvement:

Continuously assess and improve document management processes and procedures.
Recommend and implement automation tools or software to enhance efficiency.

Qualifications:

Bachelor’s degree in computer science, information system, management, or any related field.
Proven experience in project document management and administration at least 1 year.
Highly organized and detail-oriented
Good communication and interpersonal skills for coordinating meetings and collaborating with cross-functional teams.
Proficiency in Microsoft Office (Power Point, Excel and Word)
Ability to adapt to changing priorities and handle multiple tasks simultaneously.
Experience with SOPs and process improvement initiatives is a plus.
Experience in using document management tools is a plus.
Having knowledge of project management methodologies and best practices is a plus.
